We only collect personal data when a client enquires about an event at Dundas Castle. This can be through a telephone or face-to-face conversation, e-mail or through a third party directory or agent. At this point, the data we collect includes:

  • your name, address, telephone number, email address

This data is all kept in-house on our sales management system and through our email system.

If you confirm an event with Dundas Castle we shall then collect payment information, this includes:

  • credit or debit card information provided to us by you

This payment information is not stored on our internal system, it is destroyed after payment has been taken unless you give us written permission to keep it on file for future payments.

Why do we collect your data?

We collect your data to communicate with you to book or plan your event. It is also used in marketing research to analyse geographical and demographic information about our enquiries. Any marketing research we do is kept in-house and is not sold to any third parties.

Who has access to your data? 

Your personal information will be shared internally through our sales management system and through our email system.

If you have confirmed an event with us, personal contact information may be shared with third-party suppliers, appointed by you and involved in your event. This is to ensure both ourselves and the supplier understand how you would like your event to run and to ensure it is executed to the highest standard. If you have not confirmed an event with us, your information will never be given to a third party.

How do we protect your data?

At Dundas Castle we take the security of your data seriously. We have internal policies in place to ensure your data is not lost, misused or disclosed. Your data is only accessed by our employees while carrying out their duties.

How long do we keep your data?
We only keep your data on file for 5 years. This is to help us with market research and to track performance over a specific period of time.

  • request that we delete your data
